What personal data we collect and why we collect it

On this website, NDCYS will only collect the personal information that you provide. There are various occasions where you will be asked to give personal information, for example resources and donations forms as well as sign-up lists. You may also provide personal information when you contact NDCYS directly via emails or social media.

On the website, NDCYS tracks non-personal statistical information about visits to the site through a tracking programme that shows how many visits each page receives, the route taken through the pages and other general information. NDCYS uses this information to help us understand more about how our site is used and work on ways to improve it. This information is not linked to any personal details on the actual visitors.

How does NDCYS store the information it collects?

When NDCYS receives personal information from you via the website or email, it is legally obliged to keep this information up-to-date and secure. Within NDCYS, only employees who need the information to perform a specific job (for example, our office staff) are granted access to personal information.

NDCYS takes particular care over online purchases. NDCYS uses one of the world’s leading online payment companies, PayPal, which specialises in the secure capture and processing of online transactions. The credit card form is secure and your information is encrypted and stored on a secure database.

Unfortunately, despite all these measures, no data transmission over the Internet can be guaranteed to be 100% secure. As a result, while it strives to protect your personal information, NDCYS cannot ensure or warrant the security of any information you transmit to us, and you do so at your own risk.


When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.


If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. All material uploaded to our website is subject to approval by NDCYS before being used. By uploading material in the form of photographs, videos, stories or any other format onto our site you are automatically agreeing to NDCYS editing and using your material on the website and in future promotional material or events. This agreement is lifelong and royalty free and non-exclusive to NDCYS.

You must be 18 or over and if not you must have the express permission of your parent or guardian to upload the material. Material must not violate any copyright laws, the rights of any third party or any other laws. Photographs and videos must have been taken with the knowledge of the subjects, or where the subjects are under 18, with the permission of their parent or guardian. All subjects must have given permission for the material to be used by NDCYS.

By submitting material you agree that NDCYS has the right to share the material with any third party involved in the submission and receipt of the material as well as any third parties which NDCYS uses to act on their behalf.

Under certain laws and regulations NDCYS might be asked to disclose information to government agencies or employees. By submitting material you authorise NDCYS to do this without having to give you prior notice.

How does NDCYS use the information it stores?

NDCYS stores your details online for internal monitoring purposes. NDCYS keeps information on its supporters to record their communication preferences and to stay in contact with them and answer their enquiries, as well as to meet its requirements for financial administration and stock control. Information may also be kept where it helps us to assess and monitor our performance, or build a relationship with a supporter and thereby better respond to their interests by providing details of events, fundraising and other areas of our work.

We will not use your details to contact you via electronic mail unless you request communications from us. We will always give you the opportunity of unsubscribing from email communications that you have opted into.

Who we share your data with

We do not share any personal data with anyone.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. How we protect your data

All of your data is held on a secure server and this website uses the Secure HTTPS protocol to protect transmission of data. Data is stored in compliance with GDPR on our servers.

What data breach procedures we have in place

If there is a data breach you will be notified within 72 hours. You will be given details of the breach and details of any data that has potentially been exposed. You will also be given advice on how to adjust your security in the event of a breach.

In line with the GDPR NDCYS is committed to ensuring that it not only meets the legal requirements but also establishes a culture of good practice regarding personal information about its users.
